Qualifications:

Minimum Qualifications
High School diploma or GED equivalency and three (3) years of experience in a receptionist/clerical field or knowledge of basic office procedure. Experience in Microsoft Office Suite and Google Apps required.
Preferred Qualifications
Associates degree in business or a related field and experience working with Native American students preferred. U.S. Citizenship is required.

Description:

The Adminstrative Assistant II performs a wide variety of routine adminstrative/office duties and complex secreterial support to High School Academic Adminstration. Work requires comprehensive knowledge of high school programs, skill in working with issues related to policy, procedures, bookkeeping, confidential matters and involves consderable participation in the work of the High School Academic Adminstrator.

• Assist in the day-to-day operations of high school academics.
• Submits purchase orders, work orders, personnel requisitions, facility requests, travel requests, consultant paperwork and requests for reimbursements as assigned; processes stipends for assigned personnel according to established procedures as assigned; receives and processes applications and paperwork related to high school programs.
• General accounting work, such as maintain spreadsheets to account for program funds, student activities, receipt reconciliation to the Finance Office for high school programs.
• Monitors inventory levels of office and designated supplies as assigned; orders, receives and maintains appropriate levels of inventory as required for high school academics.
• Use Ivisions for purchasing and personnel action, on a timely basis for high school programs.
• Operates a variety of office equipment including a copier, fax machine, computer and assigned software.
• Gather, file and disseminate information as required.
• Use and knowledge of current technology devices and software to support work and duties.
• Establishes and maintains record systems and files; updates and maintains records and reports related to assigned program and activities including those of a confidential nature.
• Be flexible with work schedule, odd hours to support high school programs needs.
• Inputs a variety of program-related data into an assigned computer system; assures accuracy of input and output data; inputs and updates employee and student information as assigned.
• In the absence of the receptionist, greet and welcome parents and visitors, as well as maintain student sign out records.
• Maintain a clean and welcoming work station as well as common areas for guests, students, parents and staff.
• Manage after school snacks for day students.
• Train and oversee student workers as assigned.
• Prepare meeting spaces and shop for supplies and materials needed for meetings and school events at the request of the principal.
